This Privacy Policy explains how Folds of Grace ("we", "us", "our") collects, uses, shares, and protects information in connection with the Folds of Grace laundry management application (the "Service") and the laundry pickup and delivery services we provide.
1. Who this covers
This policy applies to three groups:
- Administrators and folders (contract laundry workers) who sign into the Service
- Customers who receive laundry pickup and delivery from Folds of Grace and whose contact information is stored in the Service so we can schedule jobs and send them invoices
- Prospects who submit an inquiry through the public inquiry form
2. Information we collect
From administrators and folders
- Name, email, phone, home address (for route planning)
- Login credentials (password stored hashed by our authentication provider)
- Availability, time-off requests, mileage logs, pay percentage
From customers
- Name, phone, email, service address, gate code or entry notes if provided
- Household preferences relevant to service (detergent choice, hang vs fold, family member sizes if provided by customer)
- Job history: pickup and delivery dates, weight, items processed, notes
- Invoice history and payment records (card details themselves are stored by QuickBooks Payments, not by us)
- SMS and email communications sent to or received from the customer regarding their service
Automatically
- Basic usage data such as page views and error reports for the purpose of debugging and improving the Service
- Geographic coordinates derived from customer addresses, used for route optimization and folder assignment
3. How we use it
- Schedule pickups and deliveries
- Assign folders to jobs and plan routes
- Generate and send invoices, process card payments, and reconcile with QuickBooks
- Send service notifications by SMS and email (pickup reminders, delivery updates, invoice links)
- Provide customer support and respond to inquiries
- Maintain business records, comply with tax obligations, and improve our service
4. When we share it
We do not sell personal information. We share information only with third-party service providers who help us operate the Service, and only to the extent necessary for them to perform their function:
- QuickBooks Online (Intuit) — invoices and customer billing information for accounting and payment processing
- Twilio — phone number and message content for SMS delivery
- Technical infrastructure providers — hosting, database, address geocoding and route planning, and outbound email delivery. These providers process data on our behalf under contract and are not permitted to use it for their own purposes.
We may also disclose information when required by law, subpoena, or court order, or to protect the rights, property, or safety of Folds of Grace, our customers, or others.
5. SMS consent
By providing your phone number to Folds of Grace you agree to receive service-related text messages (pickup reminders, delivery updates, invoice links) at that number. Message and data rates may apply. You can opt out at any time by replying STOP to any message; reply HELP for assistance. Opting out does not remove your customer record, it only stops SMS notifications.
6. Data retention
We retain customer records, job history, and invoices for as long as the customer relationship is active plus a reasonable period after (typically seven years) to meet tax, accounting, and legal requirements. Deactivated accounts and archived customers remain in our database for the same period unless a deletion request is received (see below).
7. Your rights
You can request to:
- See what information we have about you
- Correct inaccurate information
- Receive a copy of your information in a portable format
- Have your information deleted, subject to any legal or tax retention requirements

8. Security
We use industry-standard technical and organizational measures to protect your information, including encrypted transport (HTTPS), encryption at rest on our database provider, restricted role-based access to admin functions, and secure OAuth for third-party integrations. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
9. Children's privacy
The Service is not directed to children under 13 and we do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, contact us and we will delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the "Effective" date at the top of this page. Material changes will be communicated by email to active administrators and folders.
